Gmail Filters

Gmail Filters


Filters allow you to manage your mail based on the criteria that you provide. You can use filters to separate your emails, archive, delete, assign stars and many other things.


Ways to use Filters


To create a filter, click on the down arrow in the search box and a window will appear. This window will allow you to specify your search criteria. If you need to verify the search results, at the bottom of the search window click “Create filter with this search.”


Choose the actions you want filter to create such as:


  • Skip the Inbox

  • Mark as read

  • Star it

  • Apply the label (then choose the label)

  • Forward it

  • Delete it

  • Never send it to Spam

  • Always mark it as important

  • Never mark it as important

Then click the “Create filter” button.







Example:


By using filters, you can save time and space, get rid of unwanted emails in your inbox and automatically sort incoming emails.


For example, if you want to filter all the messages coming from Gmail, input the word “Gmail” in the “From” text box. Click Create filter with this search link at the bottom of the search options.

Then choose the action that you want Gmail to do with the messages and click “Create Filter.” You can combine multiple actions, as in the example:

Now that your filter is active, it will automatically handle any new messages that match your criteria, until you remove the filter.


Another way is by selecting an email in your inbox. Once you’re inside that email, click the Gmail Filters button at the upper-hand part, then choose “Filter messages like these”.


Or


Check the box next to the sender’s name and click the “More” button then choose “Filter messages like these.”


Using Filename:pdf – For example, if you want to search for emails with a pdf attachment, type in filename:pdf into the search box and it will show you the mails that have a pdf attachment.

If you want to search for specific person who has sent you an email with a pdf, type in the email address of the person followed by filename:pdf.

Or by name:

You can do this with any type of file, for instance, jpg, gif, xlsx, png etc.


 


Other search terms:


has:attachment – we can also search for mails that have attachment.


is:starred – to see the emails that you starred


subject:Gmail Team

After you’ve seen the result by providing the search term, click the “Select” button then select “All” if you want to filter all. Click “More” and select “Create Filter,” this will get all the emails and put them into the search box.


Ex.


filename:jpg abc.123@yahoo.com OR def.234@gmail.com OR one23@yahoo.com….


Then perform the same process that you did to create a filter from clicking on the down arrow of the search box to specifying the search criteria.
